We are looking for highly motivated and detail-oriented professionals to join our team in Belgrade.
We are looking for a Personal Assistant that will provide daily support to the President (located in the US) through administrative tasks and direct assistance. This role is responsible for organizing business operations, maintaining records, scheduling meetings, coordinating communication with clients and suppliers, and preparing reports and documents. The position requires a high level of organization, discretion, professionalism, and the ability to work efficiently in a dynamic environment. This is an on-site position that requires strong focus, responsibility, and excellent English communication skills.
Work Schedule: Monday-Friday 12-8pm
Key Responsibilities:
- Perform daily administrative tasks (record-keeping, correspondence, archiving).
- Manage the manager’s calendar, appointments, and reminders.
- Organize and coordinate meetings, prepare meeting materials and ensure the manager is briefed.
- Communicate with clients, partners, and suppliers via email and phone.
- Prepare and process internal and external documents (reports, presentations, minutes).
- Collaborate with other departments to ensure effective information flow.
- Collect and Aggregate departmental KPIs.
- Organize business travel and prepare travel itineraries.
- Assist with email management and communication on behalf of the manager.
- Handle confidential information with discretion.
- Prepare legal documents like NDAs using existing templates.
- Perform occasional ad hoc or personal tasks as required.
Requirements:
- Excellent knowledge of English, both spoken and written.
- Secondary or higher education (preferably in administration, economics, or related fields).
- Previous experience in similar roles is an advantage.
- Proficient with Microsoft Word and PowerPoint.
- Advanced Microsoft Excel skills including VLOOKUP and Pivot Tables.
- Microsoft PowerBI experience, or other BI tools is helpful.
- Experience with a CRM is a plus.
- Experience with any AI tool like ChatGPT or Grok is a plus.
- Strong organizational skills, attention to detail, and reliability.
- Excellent communication skills and a proactive approach to work.
- Ability to work both independently and as part of a team.
- High level of professionalism, discretion, and the ability to anticipate needs.
